About the Role

Fantastic opportunity for an experienced Executive Assistant to join a passionate and experienced Executive and work in a rapidly growing technology organisation based in the Adelaide CBD. This role will provide high-level administrative support to the Executive Management Team with scheduling/scrum proficiency to ensure high value work across the group to support other senior stakeholders in the organisation.

We are seeking a highly organised and motivated collaborator who is skilled in relationship building and delivering outcomes in a dynamic and demanding environment - someone who is confident and initiative-taking in their approach to work with an open and positive attitude. You'll become a trusted partner, helping to deliver on key business priorities.

The Executive Assistant will prioritise commitments, follow through on issues to successful resolution, coordinate timely responses to requests, collect and analyse information, and plan and facilitate the effective operation of the Executive Team and support the organisation growth.

Essential Knowledge and Skills:

  • Coordinating with Executive Team individually or collectively to follow up on action points, issues and risks and provide any relevant reports on progress and resolved matters.
  • Supporting the scheduling, scrum production and coordination of quality documents including presentations, white papers, executive summaries etc. for the Executive Team.
  • Enjoy providing high level support and ensuring there is a good culture in the team.
  • Liaising in a constructive and supportive manner with others to achieve win-win outcomes.
  • Producing business documents and working with online platforms.
  • Providing executive support including diary and email management, coordination for interstate and international travel, itinerary planning, document management and general administrative support including expenses.
  • Monitoring and prioritising incoming email correspondence - exercising judgement and initiative to request, coordinate, manage, and action as appropriate.
  • Effective written and verbal communications with a broad audience.

To be considered, candidates will have:

  • Demonstrated discretion and confidentiality in handling sensitive information. Integrity and confidentiality are imperative.
  • Focused on solutions and results.
  • Demonstrate initiative and respond proactively.
  • Exceptional stakeholder engagement skills with the ability to resolve problems and build positive relationships.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Flexible in adapting to ambiguity, changing needs and deadlines and be able to effectively multitask in a demanding environment.
  • Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Prominent level of organisational and time management skills, able to effectively manage competing priorities.
  • Purposeful and initiative-taking with a can-do attitude.
